The NAC National 2021 AGM will be held electronically using GoToMeeting on Tuesday 15 June 2021 at 1200 (Ottawa time).

Details on how to “join” the meeting can be found below and will be passed separately by email closer to the meeting date. Given that the COVID Pandemic prevents a face-to-face meeting, the AGM will be limited to addressing the essential AGM requirements of the Not-for-Profit Corporations Act. The draft Agenda is available at the link below as are the associated ballot and proxy nomination forms. You will note the financial reports/statements is interim as we expect the final report/statements end-June. The final version of these reports/statements will be made available as soon as it is ready.

Over the coming week additional reports and information will be posted. Members will be made aware of any information updates through WildApricot. We have attempted to make this process as easy as possible.

Voting for Posted Motions/Appointing a Proxy:

You have three options. Your “vote” and proxy can be combined in one email (email executivedirector-nac@outlook.com)

a. complete and mail in the forms (not recommended due to mail delivery issues related to COVID-19); or,
b. email me your completed forms – scanned and attached to you email; or,
c. (and the easiest!) email me your vote (yes or no to Items a, b, and c on the ballot) and your proxy nomination. No need to insert or attach your documents at all. Put you name and address at the bottom of the email. I will verify your email address with our National listings.

AGM Registration – In order to participate I need an email from you indicating your intent to participate as I need to “invite” you (it’s a software thing!) – no need to inform me if you will not attend. (email executivedirector-nac@outlook.com)

Website info – On the associated web page you will find a ballot and proxy form, a motion in regard election Board of Directors to new terms , a draft agenda and the interim 2020 end-year financial statement (currently under review by our financial reviewer and expected for posting to the webpage by end June).  Annual 2020 reports and associated material will be posted as it comes available.

Proxy nomination:  your proxy holder will be able to vote on your behalf for those items that arise during the meeting.

2020 end-year financial data – this document will be a draft as our financial statements are under review. This review should be completed end-Jun.

Conduct of the AGM – GoToMeeting software requires that I “invite” you so the need for you to let me know if you will participate. The “joining” instructions will be on the meeting invitation you will receive from me. Follow the instruction and if all else fails there is a 1-800 number to call in (you will need the login number from the “invitation” I send you).The meeting is scheduled to start at 1200 Ottawa-time. I will be logged at least 20 minutes before the meeting start time. And if you wish, you can actually gather as a group to participate. This is a conference meeting software.
